Notes, documents, and sharing

Keep personal and project notes in context, restore archived notes, and share safely.

Choose a personal or project note

Use My Notes for notes that belong to you. Use a project’s notes page when the material should be available to its members. Project note access follows the project policy: active members can create and edit, while project members can view.

Preserve history and recover work

Notes support updates and version selection. Archiving a note is separate from permanently deleting it, and archived notes can be restored through the notes workflow.

Share only through supported access

Keep project content inside the project when it requires membership. Inline files used in notes use signed media URLs. Do not treat a copied URL as a permanent public publishing mechanism; access and storage follow the application’s media and sharing controls.

Work with notes deliberately

Open My Notes for private working material and a project’s notes page for shared project material. Create or update project notes only when you have an active project role; project members can view them. Use the note version workflow when you need to inspect a prior revision instead of overwriting a decision blindly.

Archive a note when it is no longer active but may be useful later. Restoration and permanent destruction are separate actions, just as they are for tasks. Before deleting, confirm whether the information belongs in a project note, a task description, or a task comment; keeping each in its intended context makes it easier to find later.
